Access and Equity Services

 

 

If you require academic accommodations due to a disability, religious reason, family status, or gender identity, you must register with Access and Equity Services (AES). AES services and programs are only available to students who have completed the registration process. Review our deadlines below.

Registration with AES is a 3-step process

1. Obtain your required documentation
2. Complete the online pre-intake form & upload your documentation
3. Attend a registration appointment

Step 1: Obtain required documentation

You must provide appropriate documentation based on the reason for your accommodation request:

• Medical-based disabilities and pregnancy
  A licensed healthcare practitioner must complete the AES Medical Questionnaire.
  This applies to physical disabilities, neurological impairments (including ADHD), mental health disorders, chronic illness, addiction, temporary medical conditions (e.g., surgery recovery or broken limbs), or pregnancy-related accommodations.
• Learning disabilities:
  A psycho-educational assessment completed within the last five years by a registered psychologist who is licensed to diagnose is required.
• Religion/Creed:
  Complete the AES Religion/Creed Accommodation Request Form
• Family status:
  Complete the AES Family Status Accommodation Request Form
• Gender identity or other protected grounds: 
  Submit a statement that includes the following:
  • A description of your situation
  • The barriers you're experiencing
  • Any steps you’ve already taken to address those barriers
• Service and Support Animals:
  Students using animals as part of an accommodation (including service animals) must register with AES before the animal can access any campus spaces (including Residence).
  Please email  aes@usask.ca to receive the required forms and instructions.

Step 2: Complete the online Pre-Intake Form

Before starting the form, ensure your documentation is available as a PDF or similar scanned file. Please do not submit photos or image files.

Step 3: Attend a registration appointment

Once your Pre-Intake Form is reviewed, you’ll receive an email (sent to your USask email) with instructions to book your registration appointment through Accommodate.

Registration Deadlines

Students can register with Access and Equity Services (AES) at any point during their studies. However, we encourage students to register as early as possible – before the start of classes – to ensure accommodations are in place for their classes and exams. Students must initiate the registration process by submitting the required documentation and pre-intake form to AES by the deadlines below to meet exam request deadlines.

• To put in place effective and timely accommodations, we require specific documentation outlining the barriers to learning faced by the student. If critical information or context is missing or provided late, it may result in the request for accommodations being delayed or denied.
• Documentation or pre-intake forms received after the deadlines specified for registration will be considered on a case-by-case basis.

For NEW students who need to register with Access and Equity Services for accommodations.

Term	Deadline to Register	Accommodation Period
Fall Term	November 10 by 4:30 p.m.	To have accommodations in place for the December final exam period.
Winter Term	March 10 by 4:30 p.m.	To have accommodations in place for the April final exam period.

AES Exam Request Deadlines

For students who are currently registered with Access and Equity Services and have approved Exam Accommodations, exam requests must be submitted through Accommodate by the following deadlines:

Fall and Winter Terms (Non-Final Exams)	2 weeks (14 days) prior to the scheduled exam date
December Final Exams	November 19
April Final Exams	March 19
Spring and Summer Terms (Non-Final Exams)	1 week (7 days) prior to the scheduled exam date
Spring and Summer Terms (Final Exams)	2 weeks (14 days) prior to the scheduled exam date

USask is guided by Saskatchewan's Human Rights legislation and the university's Duty to Accommodate policy.

Accommodations are supports or services that allow a student with a disability, or other accommodation needs, a fair opportunity to engage in academic activities and fulfill essential course and program requirements. Accommodations are meant to level the playing field for students; they are never meant to provide an advantage to students. Accommodations are not the same as modifications; you must still meet the learning outcomes of your program.

How are they administered?

Some accommodations can be arranged by an instructor (e.g. record lectures, extensions for assignments) while other accommodations are managed by AES. Accommodations managed by AES include classroom changes, exam accommodations, assistive technology, note-taking, and alternative format materials.

As of September 2024, the AES Exam Centre is now located within the Williams Building at Room 344, Third Floor, 221 Cumberland Ave N.

A centralized exam location for students registered with Access and Equity Services who have exam accommodation requirements, the Access and Equity Services Exam Centre includes a lounge space that can be used before exams begin.

The accessible entrance and elevator are located at the rear entrance at the southeast corner of the building.
